Overview

Yard Genius Pro ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard information when you use our business management platform for landscape architects and designers at yardgeniuspro.com, and it describes the privacy rights of California residents under the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA).

Notice at Collection

At or before the point we collect information, this is what we collect and why:

  • What we collect: identifiers (name, email, phone, business name), commercial information (plan and subscription status), internet or network activity (pages viewed and features used, only with your cookie consent), geolocation limited to the property addresses you enter, and the photos and documents you upload.
  • Why we collect it: to provide the CRM, proposal, contract, takeoff, and marketing features you use, to process payments, to communicate with you about your account, to secure the platform, and to improve the product.
  • How long we keep it: see Data Storage & Retention below.
  • Sale or sharing: we do not sell personal information and we do not share it for cross-context behavioral advertising. See Sale or Sharing of Personal Information below.

Data We Collect

Account information: Your name, email address, and firm details are collected during account creation and used to administer your account and deliver service communications.

Client and lead data: Information you enter about your clients and leads — names, emails, phone numbers, addresses, project details, and photos — is stored to provide the CRM, proposal, and project management features. This data belongs to your organization and is not shared with other users.

Photos and documents: Site photos, design concepts, proposals, and contracts you upload or generate are transmitted to our servers and to third-party AI processing services to provide features like concept generation and takeoff estimation.

Usage data: If you accept analytics cookies, we collect aggregated data on how visitors and users interact with the site (page views, feature usage, session duration). If you reject them, no analytics tracking runs and no analytics cookies are set.

Payment information: Billing is processed by Stripe. We do not store credit card numbers or sensitive payment data on our servers. We do not knowingly collect government identifiers, precise geolocation, health data, or other sensitive personal information.

Sources of Personal Information

We collect personal information directly from you when you create an account, submit our lead capture or intake forms, email us, or use the platform. We collect usage data automatically through cookies and similar technologies, and only after you accept analytics cookies. We do not purchase personal information from data brokers.

AI Processing Disclosure

Your project photos, site notes, and design preferences may be processed by third-party AI services to generate design concepts, proposal scope text, marketing copy, and takeoff estimates. We use reputable, enterprise-grade AI providers under contracts that limit their use of your data to providing the service to us.

AI-generated content is for professional review and customization. It is not a substitute for professional landscape architecture advice or licensed engineering.

Third-Party Services

We share personal information only with service providers that help us operate the platform. They are contractually limited to using it for that purpose and are not permitted to sell it or use it for their own advertising:

  • Stripe — Payment processing and subscription billing
  • Google — Calendar integration, Maps for address autocomplete and aerial imagery, and Analytics for aggregate usage data (analytics loads only with your cookie consent)
  • AI image and language model providers — Design concept generation, proposal writing, and marketing content

We do not disclose personal information to third parties for their own marketing, and we do not sell personal information. We may disclose information when required by law or to protect our legal rights.

Data Storage & Retention

Your data is stored on secure cloud infrastructure. Data is isolated by organization — users in one organization cannot access data belonging to another organization.

  • Account data: retained while your account is active, then deleted or de-identified within 90 days of a verified deletion request, except where we must keep records for tax, accounting, or legal obligations.
  • Client, lead, project, and uploaded file data: retained while your account is active. You control this data and can delete records at any time.
  • Analytics data: retained in aggregate for up to 14 months.
  • Cookie choice: stored on your device for 12 months, after which we ask again.

You may delete your account and all associated data at any time by contacting us.

Sale or Sharing of Personal Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We have not done so in the preceding 12 months. Because we do not sell or share personal information, we do not have a financial incentive program tied to it.

The only non-essential tracking on this site is aggregate analytics, and it runs only if you accept it. You can turn it off now, or at any time, here: .

We honor opt-out preference signals. If your browser sends a Global Privacy Control (GPC) signal, we treat it as a valid request to opt out of sale and sharing, and analytics stays off.

If you believe your personal information has been sold or shared, or you want us to record an opt-out for you, email hello@yardgeniuspro.com with the subject "Do Not Sell or Share."

Your Rights

You have the right to access, correct, or delete your personal data. You can export your organization's data from your account settings. Contact us at hello@yardgeniuspro.com with any data requests.

California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have the following rights:

  • Right to Know and Access: You may request the categories and specific pieces of personal information we have collected about you, the categories of sources, our business purposes, and the categories of third parties we disclosed it to, covering the past 12 months.
  • Right to Delete: You may request deletion of personal information we collected from you, subject to certain legal exceptions.
  • Right to Correct: You may request correction of inaccurate personal information we hold about you.
  • Right to Opt Out of Sale or Sharing: You may direct us not to sell or share your personal information. We do not sell or share it, and you can confirm your preference with the control or by emailing us.
  • Right to Limit Use of Sensitive Personal Information: We do not collect or use sensitive personal information for purposes beyond providing the service. If that ever changes, we will offer a "Limit the Use of My Sensitive Personal Information" control.
  • Right to Non-Discrimination: We will not deny you service, charge you a different price, or provide a lower quality of service because you exercised a privacy right.
  • Right to Know About Automated Decisionmaking: We do not use automated decisionmaking that produces legal or similarly significant effects about you.

How to submit a request: Email hello@yardgeniuspro.com with the right you want to exercise. You may also have an authorized agent submit a request on your behalf; we may ask for proof that the agent is authorized and may still contact you to verify your identity.

Verification and response: We will acknowledge your request within 10 business days and respond within 45 days. If we need more time, we will tell you why and take up to a further 45 days. We verify requests by matching the information you provide against our records, and we ask for the minimum needed to protect your data.

Appeals: If we deny a request, you may appeal by replying to our response, and we will review it and explain our decision in writing.

We retain a record of your opt-out for at least 12 months and will not ask you to opt out again within that period.

Your Choices: Cookies and Tracking

Essential cookies are required for login and core functionality. Analytics cookies are optional and load only after you click "Accept all." You can reject them, or change your choice at any time, using the control. Our Cookie Policy lists the cookies we use and how long they last.

Children's Privacy

Yard Genius Pro is a business tool directed at professionals. We do not knowingly collect data from children under 13.

Changes to This Policy

We may update this policy from time to time. Material changes will be reflected in the "Last updated" date above, and where required we will ask for your consent again.
